How to Turn a SWOT Weakness Into an Action Plan Using ChatGPT

Many small business owners know what their weaknesses are.
What they don’t know is what to do next.
A SWOT analysis is only useful if it leads to action. Otherwise, it becomes another worksheet that sits in a folder and never changes anything.
In this training, I show you how to take one weakness from your SWOT analysis and turn it into a clear, simple action plan using ChatGPT — without overwhelm, complicated systems, or big budgets.
Why SWOT Analyses Often Get Stuck
Most business owners:
Identify too many problems at once
Feel overwhelmed trying to fix everything
Don’t know where to start
The goal is not to fix every weakness.
The goal is to focus on:
One business
One weakness
One realistic plan
That’s how progress actually happens.
Watch the Training Video
In this video, I walk you through the exact process step by step and show my screen so you can follow along in real time.
The Example Business: A Local Cleaning Service
For this training, I use a simple example: a local cleaning business.
The weakness we focus on is:
“The business receives inquiries from potential customers but does not consistently follow up with leads.”
This is extremely common — and very fixable.
The same process works for any small business, whether you sell services, products, or work solo.
Step 1: Understand the Weakness Clearly
Before jumping to solutions, we slow the problem down.
Using ChatGPT, we first ask it to explain:
What’s really happening
Why it hurts the business
What the business is losing
This step removes confusion and overwhelm. You can’t fix what you don’t clearly understand.
Step 2: Generate Simple, Realistic Solutions
Next, we ask ChatGPT for practical ideas, assuming:
Limited time
Limited budget
A small team (or just the owner)
The focus is on:
Consistency, not perfection
Simple systems, not complicated tools
Actions that are easy to maintain
Step 3: Create a 30-60-90 Day Action Plan
Ideas are helpful, but plans create movement.
ChatGPT helps break the solutions into:
What to do in the first 30 days
What to build over the next 60 days
What to strengthen by 90 days
This makes progress feel manageable instead of overwhelming.
Step 4: Pick One Action This Week
This is the most important step.
Instead of trying to do everything, we ask:
“What is one small action I can take this week?”
Small steps create momentum — and momentum builds confidence.

To make this easy, I created a worksheet where you can copy and paste the exact ChatGPT prompts used in the training and apply them directly to your own business.

Use it alongside the video and work through one weakness at a time.
ChatGPT Is a Tool — Not the Decision Maker
ChatGPT doesn’t replace your thinking.
It helps you:
Slow the problem down
Think more clearly
Move from ideas to action
When used the right way, it becomes a powerful business assistant — not a shortcut.
